Associate Administrative Officer
Meetings and Event Management:
- Assist technical teams with activity request forms, event management checklists, and activity budget preparation.
- Oversee all logistical arrangements of meetings and events, including booking event venue, arranging food packages, decorations, coordination Audiovisual equipment and operation
- Making travel arrangements
- Manage invitation, registration, and attendee check-in processes.
- Oversee on-site logistics in collaboration with the Technical Team.
- Develop relationships with event vendors (venues, catering, transportation, etc.).
- Maintain a vendor list for efficient event planning.
Obtaining Resources:
- Respond to requests from program staff for supplies, materials, and other project needs.
- Conduct market research and site visits to identify potential suppliers based on the established LTA (long-term agreement with the suppliers).
- Draft Requests for Quotation (RFQs), manage evaluations, and finalize procurement packages.
- Maintain a filing system for future orders in collaboration with the Procurement Manager.
Ensuring Compliance:
- Guarantee adherence to UNRWA's procurement regulations for all project-related purchases.
- Review procurement documentation from the project's office for accuracy and compliance with UNRWA policies and procedures.
Vendor Management and Procurement Processes:
- Interact with suppliers daily and review deliveries against purchase orders.
- Assist in implementing procurement tracking tools alongside the Procurement Manager.
- Maintain a database of reliable suppliers for various categories.
Financial Management:
- Submit supplier's claims to the Finance Department for payment.
- Liaise with other departments, such as Finance, Planning, and ERCD, for budget and planning as required.
- Prepare the quarterly procurement report for the department in coordination with the project managers.
- Acting as the department's focal point for all budget issues in relation to the department's budget.
- Attending the budget review monthly meetings and providing updated financial reports.
- Monitor the financial status (burn rate) of the currently implemented projects and report significant issues to higher management.
- Coordinate with the budget division about the budget reallocation requests received by the fields of operations.
